Buyer Guide for Sourcing Sri Lankan Spices in Europe

A practical pre-quotation checklist for importers, distributors, manufacturers, food service and specialist retail. Use it to make enquiries faster and reduce back-and-forth before samples or pricing.

1. Define the product precisely

Do not ask only for “cinnamon” or “pepper”. State the botanical identity or required origin, whole vs ground form, grade or particle size, target application and any sensory expectations.

2. Define the technical specification

Depending on the product, buyers may ask about moisture, particle size or mesh, bulk density, foreign matter, volatile oil, piperine, colour, microbiological limits, pesticide residues or other contaminants. Ask for only the values that matter to your use case and have them confirmed against the actual lot.

3. Ask for the right documents

Typical discussions may include a product specification, certificate of analysis or relevant lab results, origin information, packing details and commercial documents. Availability must be confirmed for the selected supplier lot.

4. Match packaging to the channel

Retail, repacking and industrial users have different pack-size, liner, label and pallet requirements. Confirm whether you need bulk bags, cartons, inner liners, retail packs or private-label support before final pricing.

5. Put logistics in the RFQ

State destination, preferred Incoterm, delivery window and whether the quotation should be FOB, CIF or DAP. Import responsibilities and destination charges should be clear before confirmation.

6. Use samples intelligently

A sample is most useful when the buyer evaluates the same key attributes that will be specified on the commercial order: appearance, aroma, grind, density, packaging and the accompanying documentation.
